Store & Fixed Assets Controller

The Store & Fixed Assets Controller is responsible for controlling, recording, safeguarding, and reporting the Company’s fixed assets, and store activities across multiple branches, departments, locations, and production facilities.

The position ensures that all assets and inventory are properly received, recorded, tagged, classified, assigned, transferred, verified, reconciled, maintained, and disposed of in accordance with Company policies and ERP procedures.

The position works closely with Finance, Procurement, Administration, Warehouse, Branches, and ERP teams to maintain accurate records and effective internal controls.

1. Fixed Asset Management

1. Maintain an accurate and up-to-date Fixed Asset Register in the ERP system.
2. Record asset additions, transfers, assignments, disposals, sales, losses, and write-offs.
3. Verify newly purchased assets against PR, PO, invoice, and specifications.
4. Ensure assets are properly classified, tagged, and assigned to the correct branch, department, location, class, and custodian.
5. Maintain records of asset cost, useful life, depreciation, condition, location, and status.
6. Control inter-branch, inter-department, and inter-location asset transfers.
7. Track assets under repair, maintenance, disposal, or replacement.
8. Conduct periodic physical verification and reconcile physical assets with ERP records.
9. Identify missing, damaged, obsolete, or unrecorded assets and report discrepancies.
10. Assist with asset disposal and loss cases.

2. Store Management

1. Maintain accurate records of store items in the ERP system.
2. Receive, inspect, record, store, and issue materials and supplies against approved documents.
3. Control items movements, transfers, returns, and adjustments.
4. Maintain proper stock levels and prepare replenishment requests when required.
5. Ensure proper identification, labeling, storage, and security of inventory.
6. Conduct regular physical stock counts and reconcile physical quantities with ERP records.
7. Identify and report damaged, obsolete, excess, and slow-moving items.
8. Ensure stores are clean, organized, secure, and properly maintained.

3. ERP & Data Control

1. Ensure asset and inventory transactions are accurately recorded in the ERP system.
2. Maintain correct branch, department, location, class, warehouse, and cost-center information.
3. Support improvements to Fixed Asset and Store/Inventory ERP processes.
4. Identify system or data errors and coordinate resolution with the ERP team.
5. Maintain accurate master data and supporting documentation.

4. Reconciliation & Reporting

1. Reconcile fixed asset records with Finance/General Ledger records.
2. Reconcile physical inventory with ERP records.
3. Prepare periodic reports on assets, inventory, transfers, discrepancies, disposals, and stock balances.
4. Maintain proper electronic and physical documentation.
5. Support internal and external audits by providing required records and reports.

5. Internal Control

1. Ensure all asset and inventory movements are properly authorized and documented.
2. Monitor the inflow and outflow of assets and inventory.
3. Report losses, damages, discrepancies, or unauthorized movements.
4. Ensure compliance with Company policies, procedures, and internal controls.

Education

1. Bachelor's degree in Accounting, Finance, Business Administration, Supply Chain, Logistics, or a related field.
2. Good knowledge of MS Office, particularly Excel.

Experience

1. Minimum 3 years of relevant experience in Fixed Asset, Inventory, Store, or Warehouse Management.
2. Experience in a production/manufacturing company and ERP environment is preferred.
