Purchase Officer – External

We are seeking a well-organized, proactive, and detail-oriented Procurement Officer-External to join our growing team.

The successful candidate will be responsible for handling external purchasing activities and carrying out procurement tasks assigned by the General Manager. Key responsibilities will include identifying and evaluating potential vendors and suppliers, obtaining and comparing quotations, inspecting purchased goods, maintaining accurate procurement records, and coordinating delivery and transportation arrangements.

The candidate should have the ability to negotiate competitive prices, payment terms, and transportation costs while ensuring that purchased goods and services meet the company's requirements.

1. Conducting product research and sourcing new suppliers and vendors.
2. Ability to multitask and manage several purchasing activities simultaneously.
3. Sourcing materials, goods, products, and services and negotiating the best or most cost-effective contracts and deals.
4. Performing inventory inspections and reordering supplies and stock as necessary.
5. Conducting market research to keep abreast of emerging trends and business opportunities.
6. Inspecting stock and reporting any faulty items or inconsistencies immediately.
7. Updating and maintaining records of all orders, payments, and received stock.
8. Coordinating with the delivery team and following up on delays or orders that have been rescheduled.
9. Attending product launches and networking with industry professionals.
10. Establishing professional relationships with clients as well as vendors and suppliers.
11. Ensuring all stock is packaged appropriately and delivered to the correct location in a timely manner.
12. Identify and communicate with international suppliers.
13. Obtain and compare quotations from suppliers.
14. Prepare purchase orders and procurement documentation.
15. Negotiate prices, delivery terms, and payment conditions.
16. Follow up on international orders and shipments.
17. Maintain proper procurement records and supplier databases.

1. Bachelor’s degree in business, logistics, or a related field may be required.
2. 4 years Previous experience in a similar position.
3. Proficiency in the relevant management software programs.
4. Superb written and verbal communication and negotiation skills.
5. Great organizational and planning skills.
6. The ability to identify market trends and make decisions in a high-stress environment.
7. The ability to follow client specifications.
8. Excellent networking and time management skills.
9. Knowledge of international purchasing and import procedures is an advantage.
